Virtual Assistant ToolsHi fellow VAs! In the last part of my “Finding New Clients for Your Virtual Assistant Business” series, I want to provide you with tools that will help you once you have identified and connected with that awesome prospect.

Here are some of the tools I currently use once I’ve got the attention of a great future client.

Hiveage

Hiveage allows you to send a quote to your prospect, they can accept the quote and then it converts the quote into an invoice. Once the invoice is created, the client can make their payment. How awesome is that?!!

Echo Sign

Echo Sign is a great tool to use when it’s time to get your working agreements signed. It’s really easy to use and your clients will be very impressed. You’ll also be surprised at how much quicker it is than trying to get a client to download, sign and fax papers back to you.

Your Welcome Kit

Once your prospect is ready to do business, after the payment and contract details are out of the way, send them a welcome kit. My welcome kit includes:

  • A thank you letter
  • A copy of their signed agreement and first payment receipt
  • Emergency contact details for me or their project manager
  • A guide that shows them how to work with me. This includes the best way to reach me, what type of work can be submitted,  how to submit work, how corrections are handled and so on.
  • Access to my project management site
  • A FAQ sheet
  • A marketing piece that explains how my referral process works

I hope this helps, if you have questions or experiences you’d like to share, you know the drill, leave your thoughts in the comments box below.
